n8n Cloud vs Self-Hosted: A Practical Cost and Operations Comparison

Compare n8n Cloud and self-hosting by subscription, infrastructure, maintenance, security, execution needs, and team operations—without misleading cost claims.

Editorial status: Documentation-based comparison. No independently tested workflow or downloadable JSON is claimed.

Choosing between n8n Cloud and self-hosting is not simply a comparison between a subscription price and a virtual server bill. You also need to account for operational responsibility, backups, monitoring, upgrades, security, and the value of your team’s time. The right choice depends on workload and expertise.

What each option means

n8n Cloud is a managed service: n8n operates the hosting environment and offers subscription tiers with usage and feature limits. Self-hosted Community Edition runs on infrastructure you manage under n8n’s Sustainable Use License, with a different feature and licensing model. Paid self-hosted Business and Enterprise options have their own terms. Always verify current entitlements and permitted commercial use before committing.

Cost categories to compare

Cost factor Cloud Self-hosted
Platform subscription Plan-based fee Community or applicable commercial license
Compute and storage Included subject to plan terms Server, database, storage, backups
Maintenance Provider-managed core hosting Your team’s time or managed-service fee
Monitoring and recovery Provider services plus your workflow monitoring Your monitoring, incident response and restoration
Security responsibility Shared responsibility Broader infrastructure responsibility

How to estimate total monthly cost

For Cloud, estimate the subscription tier needed for your expected production executions, concurrency, collaboration, and retention. Add external API charges for AI models, email, databases, and other connected services. For self-hosting, estimate compute, database, backups, monitoring, network traffic, maintenance hours, and any required commercial license. External API charges generally remain relevant in both cases.

Example of a transparent calculation

Suppose self-hosting requires a server costing $25 per month, backup/monitoring services costing $10, and two hours of monthly administration valued internally at $50 per hour. The illustrative operational total is $135 per month, before taxes, external API costs, downtime, and any applicable license. This is a hypothetical calculation, not a quoted hosting offer or a claim about your actual costs.

When Cloud may be a better fit

Choose managed hosting when the team wants to focus on workflows rather than server administration, values predictable support and managed updates, and fits within the plan’s execution and feature limits. Review data residency, credential handling, retention, and integration requirements for your use case.

When self-hosting may be a better fit

Self-hosting can be attractive when you have reliable infrastructure expertise, specific deployment or networking requirements, or a workload whose total operating cost makes sense on your hardware. You remain responsible for secure upgrades, backups, database health, reverse-proxy configuration, secrets, and recovery testing.

Licensing and commercial-use caveat

Do not assume that a free Community Edition license permits every SaaS, embedded automation, or client-facing workflow editor model. n8n’s Sustainable Use License has conditions, and some scenarios require a commercial agreement. Review the official licensing guidance and contact n8n for case-specific questions.

Decision checklist

  1. Estimate executions and concurrency from actual workflow design.
  2. Identify any required paid-plan features.
  3. Calculate full infrastructure and operations costs.
  4. Assess security, compliance, and data residency.
  5. Verify licensing for your exact business model.
  6. Test backup restoration and incident response before production.

Sources and price freshness

Official pricing and feature entitlements can change. Pricing and licensing pages were reviewed in October 2026; use the live pages for a purchase decision rather than relying on an archived number.
